AES-256 encryption at rest. TLS 1.3 in transit. All data stored in US-based infrastructure with SOC 2 aligned hosting.

Who can access our data?

Access is scoped by organization. Row-level security enforces isolation. Only authorized personnel with MFA can access production systems.

Onboarding & Setup

How long does implementation take?

Most foundations go live in 2-3 weeks. We handle roster import, payroll mapping, and fund configuration during onboarding.

Do you import our existing roster?

Yes. We accept CSV exports from any HRIS or payroll system. Our team maps fields and validates data before import.

What payroll systems do you integrate with?

We work with any system that produces a deduction file (Lawson, Kronos, ADP, Workday, and others). No API connection required — file-based integration only.

What does onboarding include?

A dedicated onboarding specialist handles: roster import, payroll template configuration, fund setup, ambassador enrollment, and staff training.

Payroll Integration

A deduction didn't process correctly. What do I do?

Contact your account manager or email support@rostergiving.com. We reconcile every pay period and can trace any discrepancy within 24 hours.

An employee wants to cancel their deduction.

Employees can update their giving through the portal, or managers can process changes. Updates reflect in the next payroll output file.

What file format does the payroll output use?

We generate files matching your payroll system's expected format — typically CSV or fixed-width. The template is configured during onboarding.

How often are payroll files generated?

Configurable: bi-weekly, monthly, or custom schedule aligned to your pay periods.

Employee Portal

How do employees enroll?

Employees receive a personalized enrollment link via email or ambassador outreach. They choose a fund, set an amount, and confirm — takes under 2 minutes.

Can employees change their donation amount?

Yes. Employees can update their amount, fund allocation, or cancel at any time through the portal.

How do employees reset their password?

The portal uses magic link authentication — no password to remember. Employees enter their email and receive a secure login link.

Can employees see their giving history?

Yes. The portal shows donation history, current recurring plan details, and impact information for their chosen fund.

Data & Reporting

Can I export donation data to our CRM?

Yes. Roster integrates with Salesforce and Raiser's Edge. We also support CSV exports for any system.

What reports are available?

Participation rates, donation trends, fund allocation, department breakdowns, ambassador performance, and campaign results — all filterable by date range and segment.

What happens to our data if we cancel?

You receive a full data export. We retain data for 30 days after cancellation, then permanently delete from active systems.

Can multiple users access the platform?

Yes. Role-based access control supports admins, managers, and view-only users within your organization.
